Tip o’ the Week 496 – Dark Mode marches on

clip_image002Back in the olden days of computing, wage slaves sat in front of terminals with black backgrounds and lurid green text writing. The advent of the graphical user interface relieved this tyranny with a paper-white background from a bitmapped screen to write your WYSIWYG text, to showcase colourful graphics (and Fonts!).

Fast forward 30+ years and it seems every app and OS is running away from black text / white backgrounds, and heading for monochrome graphics and oppressive white text on a black background again.

Using Dark Mode, either in apps or in the operating system on your computer or phone, promises a variety of benefits – less noticeable flickering, reducing eye strain, avoiding bright lights in a dark environment, perhaps better readability and therefore productivity, and even lower energy costs.

Dark Mode has existed in Windows for a while – but ultimately, apps need to support the theme, too, and more and more are doing so – like new Edge browser, or Office apps (where you can set the Office Theme).

Microsoft recently put out a groovy video to highlight Dark Mode across a variety of apps and device types, and some commentary about why and when. It’s even come to Outlook.com as well.

The announcement on Microsoft 365 functionality adds for August 2019 highlighted additional Dark Mode support coming to Outlook mobile apps and Outlook.com, saying, Dark Mode is not only easier on the eyes and may extend battery life, it also enables you to comfortably continue using your device in places where the default bright mode isn’t appropriate, like darkened airplanes and movie theaters.”

So kids, next time you want to go and watch a movie & catch up on your email, make sure you’ve Dark Mode on!

Tip o’ the Week 488 – Time Zone Travelling

clip_image002Heading somewhere nice this summer? Perhaps somewhere hot and busy, such as Las Vegas?

When moving between countries, one of the tricks the traveller needs to decide is how to handle the switch of time zone. Do you set your watch to the destination time as soon as you board the plane, or only when the pilot announces, in his or her ever-so distincive pilot tone, what the local time is on arrival?

If pilots all sound the same, what about air-traffic controllers?

Also, do you wait for your phone to pick up the destination time zone automatically, or do you set it manually? If you have a Fitbit or other wearable, do you want it to pick up the time from your phone or do you force it on departure? Decisions, decisions…

Frequent travellers tend to have pearls of wisdom on how to deal with jet lag – like get your mind in the destination time zone and keep it there (ie. If you’re out having dinner after arrival, do not keep saying that it’s really 4am; it’s 8pm now and you can’t go to bed for at least another two hours), or get the sunor even a bright light – on the back of your knees. It’s a lot easier to handle the differing time zones using your PC…

clip_image003Outlook – whenever an appointment is created, its date and time are recorded as an offset from UTC, and the time zone it’s due to take place in is also noted. If you’re creating meetings or appointments which are in a different time zone, like travel times, then it may be worth  telling Outlook by clicking the Time Zone icon in the ribbon, and then selecting the appropriate TZ – especially useful if you’re moving between clip_image005time zones during the appointment itself, and don’t want to run the risk of horological befuddlement.

If you’re booking a load of appointments in another time zone – eg. you’re working in another country for a few days and creating appointments with people in that locale – then it’s even worth switching the TZ of your PC whilst you do the diary-work, to save a lot of clicking around in setting the appropriate time zone specific to each meeting.

The best way to do this would be to show your second time zone in the Outlook calendar – in the main Outlook window, go to File | Options | Calendar and select the second one to show; when you’re ready to switch between your local TZ and the remote one, just click the Swap Time Zones button to switch the PC (and Outlook) between the different zones.

clip_image009Windows 10 – In the Settings | Date & time menu, there’s an option to tweak how Windows deals with time and time zones – some of which might be applied by policy and therefore greyed out for you. Like phone OSes, Windows 10 has the option of setting time zone automatically.

If you’re going to use the time zone swapping in Outlook as per above, switching time zones before you actually travel, then it’s worth disabling the automatic mode as Windows can get itself properly confused; the default time zone will change, and Outlook will end up showing the same time zone for both primary and secondary.

clip_image011Using the old fashioned Windows control panel time settings applet, you can choose to show a second time zone in the clock on the system tray – in the Date & time settings, look to the right and you’ll see Add clocks for different time zones.

The Alarms & Clock app in Windows 10 shows a map of the world with your choice of locations, and the moving daylight line so you can see what’s happening around the globe. A good alternative to that exec boardroom display nonsense, that you might expect to see gracing the wall of your average corporate hot shot.

Tip o’ the Week 482 – Paste History

clip_image002[4]Back in 2012, three weeks before Super Saturday, ToW #133 talked about the Art of Cut ‘n’ Paste. How the widely-used CTRL-V keyboard shortcut for Paste can trace its roots back to a program co-developed by Butler Lampson, one of the “Dealers of Lightning” as a founder at Xerox PARC, and now a near-25-year Microsoftie and Technical Fellow. QED was a thing before Neil & Buzz set foot on the Moon (which happened on 21st July, not 20th: Eagle landed on the 20th, but it was 21st before “one small step for a man”… at least it was in UTC).

clip_image004[4]Did you know that in recent versions of Windows 10, there’s a useful new shortcut – WindowsKey+V?

It shows you the history of the clipboard, so you can quickly access something you’d previously copied; you can sync the clipboard between multiple machines (or phones), too.

clip_image006[4]There are other controls you can assert when it comes to pasting stuff, too – CTRL+ALT+V in Office apps will let you paste something and decide how to handle it (the equivalent of Paste Special, in most cases) and you can over-ride the default behaviour in  Word too, by choosing to Set Default Paste.

clip_image008[4]In other apps, there may still be different ways of handling Paste actions – Paul Thurrott recently wrote about how to change the options in OneNote for Windows 10 (the UWP app that is replacing traditional OneNote; the one you can start by running onenote-cmd: from the Win+R box).

The “copy & paste” metaphor dates to PARC, too – and yet it’s still evolving, 45 years later.

Tip o’ the Week 478 – O365 and Windows’ Mail and Calendar

clip_image002On the mobile platforms that still survive, the highly-regarded and rightly popular “Outlook” mobile apps have no relation to the Outlook desktop Windows app which first appeared with Office 97, before smartphones were a glint in anyone’s eye. Mobile Outlook has hundreds of millions of downloads on both iOS and Android; quite a feat, as later this year Windows Mobile sinks quietly beneath the waves.

The genesis of Outlook on the phone as we know it today, is perhaps the acquisition of a company called Accompli 5 years ago, and a great deal of refinement and effort since.

clip_image004Somewhat interestingly, traces of the same app have come to Windows as well – namely the Mail and Calendar app(s) that are in the box on Windows 10. Look back to ToW 445, and you’ll see that the names for the apps are outlookcal, outlookmail and outlookaccounts. Stick a “:” on the end and you can run them from a prompt.

e.g. Hit WindowsKey+R then enter outlookcal: and you’ll jump straight into the Calendar app.

Both have come a very long way – at first release, they were pretty basic, but they’re now so well featured that most people could use them as their primary email and calendar apps, most of the time.

clip_image006The Calendar app is functionally pretty similar clip_image008to the Outlook desktop app, except when it comes to working with other people – there’s no way to view someone else’s calendar, for example, but for a personal diary of appointments it’s really very good. And if you want the best of both worlds, you can connect your Office 365 account to both Outlook – as might be your primary way of working – and to the Mail and Calendar apps, for some side benefits and quicker ways of getting some things done.

Go into the settings on the Calendar app, then Manage accounts, then + Add account… or just Win+R then outlookaccounts: and you’ll be able to add your Office 365 account onto both Mail and Calendar.

If you have multiple calendars connected – like home Office 365, Gmail or Outllook.com accounts as well as your corporate one – you could selectively enable them for display in the app, and the set of calendars that are shown will also appear in the agenda if you click on the clock / date on your taskbar. You can also see your upcoming appointments in a live tile on the Start menu, if you still use such things.

You’ll also see your next appointment on the Windows Lock Screen if you have it enabled under Lock screen settings.

You may want to go into the Notifications & actions settings page (just press Start and begin typing notif…) and turning off Calendar notifications, or you’ll get a blizzard of reminders from desktop Outlook and the Calendar app.

Tip o’ the Week 472 – Update Store & Office apps

clip_image001[4]We’re all used to Windows Update or other software automatically downloading and installing updates (on phones, TVs, cars…). Sometimes the updates are at more of a leisurely pace than keen users might want though occasionally the recipients demand to hold back the updates until they elect to install.

The Windows 10 October 2018 is now being pushed to (nearly) everyone, though business users will have the option of pausing Windows Updates in case they want to enact a temporary delay for some particular reason – you’re about to go on a trip, for example – though it’s not meant as a centralised policy control: IT departments have other ways to do that. Windows 10 Homes users will soon get the ability to defer updates for up to 35 days, too.

How often applications update themselves is largely down to the publisher, clip_image003[4]but it’s usually possible to give the apps a prod to see if there are published updates before they get pushed out to you.

clip_image004[4]In the Microsoft Store app, for example, go to the ellipsis menu on the top right. You’ll see Downloads and updates, which will force the check for updates for all your installed Store apps. Even if you’ve turned on the automatic app update checks, it’s worth taking a look periodically as some of the apps you use most often might have updates pending.

clip_image006[4]If you find that most of the stuff you’re offered is updates to boring apps that you don’t use, then you could just wait for them to fetch their own in time. If, however, you spot an individual update to an app that you know you want to have the latest version of, then click the down arrow to the right to get it right away, or click the app name to look at its page in the Store and see what’s new.

clip_image008[4]Of course, non-Store apps may still offer their own updates directly – to check for updates to the Microsoft Office suite, for example, try going into Word (or Excel or PowerPoint if those are your most-used Office apps) and from the start screen that offers a few previously-opened files, templates you’ll never use etc, look to the bottom-left and you’ll see Account.

clip_image009[4]Click Account to go to the product information page, which will let you check for updates, show you the current installed version number of the the application, and maybe even let you sign up for more updates through the Insider program.

clip_image011[4]After you’ve installed any pending updates, the What’s New option will be active and will show you a summary of what has changed, in a pane within the app itself.

Or check the View Updates option at any time, and it’ll take you to the web to see what the latest updates contain.

Tip o’ the Week 470 – Chrome Activities on Time

clip_image002As many of now know, the Edge browser in Windows 10 is going to change.

In short, the browser application will be rewired to use the open-source Chromium rendering engine, meaning that Edge will be every bit as compatible as Chrome is in displaying web pages and apps. It doesn’t mean that Edge will look and feel the same as Chrome, though – if the latter is a skin on the Chromium engine that provides a load of additional functionality, so Edge will be a different skin but will look and act much the same as it does today.

For now, at least, there are a lot of Chrome users on Windows 10 and various teams at Microsoft have gone to some lengths to build Chrome extensions to support other services or software, maybe in the same way they work on Edge or even beyond. clip_image004One such extension was published recently, which allows the activity that a user is doing in Chrome, to be published to the Windows Timeline feature.
Install the Activities extension here.
(assuming you’re using Chrome… Edge users who just clicked on that link, go and have a word with yourselves).

clip_image006After installation, then any browsing you do in Chrome while will show up in Timeline – press WindowsKey + TAB or click the Timeline button that is generally found next to the Start button on your taskbar, and use the slider at the side to jump to a particular date, or click the search bar on the top right (keyboardistas, just press CTRL-F) and search for a keyword within the content you were browsing earlier.

It’s a fantastic way of searching not just browser history, but other activities – like Office docs or many Windows apps.

clip_image008Look under the icon for the Activities extension, and you can choose which browser you’d like to use to open the tile from the Timeline – in the example above, a Google search within Chrome took us to a content page, and clicking or tapping that tile will re-open the website.

So, if you’re currently using Chrome under sufferance but would like to keep most of your browsing in Edge, having browsed in Chrome and gone back to the Timeline, it will give you the option of using your default – Edge – or using the other one, er, Edge…

Tip o’ the Week 468 – Get Office, My Office, Office app appears

clip_image002[4]For a while now, new PCs have been installed with an app that “encouraged” users to install and use Office. Even users with Office already installed sometimes complained that Get Office was nagging them to, er, Get Office.

Get Office became “My Office”, which was a lot more useful in the sense that it was showing documents you used etc, but its main aim appeared to still be to help you find and launch Office apps, or buy them if you’re not already using them.

clip_image004[8]The latest incarnation – simply called “Office” – moves the game on a whole lot more. For one, it’s a portal into all the Office documents you work with on your machine or online, allowing you to search content across not just the docs themselves – so you can search for documents in your most-recently-used lists, something that the File dialog in Word/Excel/PowerPoint annoyingly won’t do.

The search bar also reaches across SharePoint sites you use, OneDrive locations you have and even brings in the global address list so you can get to people details really quickly, including a really fast org chart ability.

The new Office app will be delivered automatically for a lot of people as it will replace the My Office and Get Office apps in due course; if you’d like to check it out sooner, go to the Store.

Tip o’ the Week 465 – Cortana, remind me To-Do sync

clip_image002The ongoing post-Wunderlist improvements to To-Do, continue apace. The app has clip_image004been updated again recently, to include a bunch of additional functionality, like Cortana integration.

In fact, the Store listing name for To-Do is now appended with some additional context of what it can now do, at least if your language is English and you’re in US, UK, India or Australia.

clip_image006By asking Cortana to remind you of something, she’ll add it to your Outlook Tasks and To-Do reminders – if you’re set up that way – and you can manage lists within the To-Do app itself, or access the same To-Do Lists or Reminders from within the Cortana Notebook.

clip_image008You don’t even need to go into the Cortana UI (or say “Hey Cortana”) to add things to be reminded – any app that implements Share functionality, like the Edge browser’s Share page toolbar command – will let you target Cortana Reminders.

clip_image010clip_image012You can set a reminder time, which will then sync to Outlook Tasks and on to To-Do, if you’ve set up Office 365 or Outlook.com integration, and will trigger a reminder using those mechanisms (get ready for toast overload…) Alternatively, get Cortana to ping you when you arrive at a place or next talk with a known contact.

Cortana’s past tells a good story, and her future is changing somewhat – after deciding to stop positioning her as a potential competitor to Amazon Alexa or Google assistants, a forthcoming release of Windows 10 will break the bond between Windows Search & Cortana, and the voice prompts from Cortana during Windows Setup will be silenced when installing a non-Home version of Windows too.

Tip o’ the Week 463 – Photographs, eh (he asked him knowingly)?

clip_image002Nudge Nudge! We’ve all taken photographs and wanted to manipulate them with better tools or on a better screen than presented by our smartphones, haven’t we? Pros might use Photoshop (and some less than Pro too), but for the mere mortals among us, the Photos app for Windows 10 can do a lot of the basics really well.

There are some simple but reasonable tips on getting more out of Photos here, and if you’re still missing Movie Maker, then you could do worse than check out Photos’ ability to edit videos, as discussed here.

clip_image004There’s a recently-released beta extension for Windows which provides support for RAW images (well, some of them)see more here.

If you already use Photos, have you noticed that when using a Modern App to manipulate files (eg inserting a photo into OneNote or Mail), then you’ll see Photos appear as a node in the file chooser dialog?

You get the ability to use some of the Photo app functionality for organising your pics – like using search, viewing by subject or use the Timeline feature to quickly jump to a picture based on the date it was taken.

In a rare departure from the mantra that modern apps are somehow inferior to proper ones, here’s an example where using a UWP app is demonstrably better than its Win32 counterpart.

See for yourself –  when you’re used to the Photos app functionality and go back to a non-Modern app (like the zombie OneNote 2016 application that’s still a lot more functional in many ways than its UWP sibling), the file dialog box is shorn of Photos addenda and you’re back to grubbing about in the file system to find your files.

Tip o’ the Week 460 – AI, AI, Oh…

clip_image002Artificial Intelligence has been dreamt of for decades, where machines will be as smart – or maybe smarter – than humans. AI in popular consciousness is not just a rubbish film, but if you’re a brainless tabloid journalist, then it means Siri and Alexa (assuming you have connectivity, obvs … and hope there’s no Human Stupidity that forgot to renew a certificate or anything), and AI is also about the robots that are coming to kill us all.

Of course, many of us know AI as a term used to refer to a host of related technologies, such as speech and natural language recognition, visual identification and machine learning. For a great example on practical and potentially revolutionary uses of AI, see Dr Chris Bishop’s talk at Future Decoded 2018 – watch day 1 highlights starting from 1:39, or jump to 1:50 for the example of the company using machine learning to make some world-changing medical advances.

clip_image004Back in the mundane world for most of us, AI technologies are getting more visible and everyday useful – like in OneDrive, where many improvements including various AI investments are starting to show up.

One simple example is image searching – if you upload photos to consumer OneDrive (directly from your phone perhaps), the OneDrive service will now scan images for text that can be recognized… so if you took a photo of a receipt for expenses, OneDrive might be able to find it if you can remember what kind of food it was.

clip_image006There’s also a neat capability where OneDrive will try to tag your photos automatically – just go into www.onedrive.com and look under Photos, where you’ll see grid of thumbnails of your pictures arranged by date, but also the ability to summarise by album, by place (from the geo-location of your camera phone) clip_image008or by Tag. You can edit and add your own, but it’s an interesting start to see what the visual search technology has decided your photos are about… not always 100% accurately, admittedly…

More AI goodness is to come to Office 365 and OneDrive users in the near future – automatically transcribing content from videos stored online (using the same technology from the Azure Video Indexer and Microsoft Stream), to real-time PowerPoint captions. Watch this space… and mind the robots.
