Time Zones have featured lots on ToW; in an epoch when everyone was holed up WFH, the relative time people were at became especially important when trying to meet with them. Sometimes, it’s unavoidable that meeting times are unpalatable to some attendees if they’re in a far-flung time zone, but it’s worth reminding yourself how distant they are when trying to find the best time slot to speak with them. There are whole genres of mechanical watches which can display multiple time zones (check out GMT or World Time if horology is your thing), or you could rely on phone or computer-based aides-memoire, such as displaying multiple time zones alongside your calendar in Outlook, using the Windows Clock app with its world clock view, or even showing several clocks on the Windows task bar. A new addition to the arsenal of time zone tooling is a neat feature that’s appeared in the contact card in Teams and Outlook, showing you what the time is for the person you’re looking at. The time displayed is set by the device they’re using, so if on Windows, that’s the Time Zone setting. When travelling, rather than just manually winding the clock back or forward, it makes sense to set the correct time zone on your machine – either by allowing Windows to change it automatically or by specifically choosing it from the list. If you have multiple time zones displayed in Outlook, you can switch between them from the settings page – just right-click on the timeline to the side of the calendar and choose Change Time Zone, or go to File | Options | Calendar and look for the settings in there. When you swap them around inside Outlook, it will change the time zone on your PC. In some parts of the world, there’s pressure to prevent “work” from creeping into personal time, meaning emails and other messages should be held back and not sent during what’s supposedly down-time. Ireland has published a “right to disconnect” code of practice, and Portugal even made it illegal for an employer to contact their workers outside of working hours. If you’re using the right kind of Microsoft 365 subscription, Outlook can offer to delay emails you’re sending to people who are in different time zones – part of the Viva Insights package. Choosing this action has a similar effect to the Delay Delivery option which is visible on the Outlook toolbar, except that it won’t need Outlook to be running; the regular Delay feature leaves a message in your Outbox folder, and that normally means the Outlook client needs to be running at the time you want it to be sent. The Viva-powered delay option holds the message on the server until the allotted hour, and then delivers it to the recipients – handy if the sender is already outside their working hours by that point… |
620 – Change your P@ssw0rd!
Bad Actors are all over the internet (not just in your local multiplex), mostly aiming to gain access to data and systems for nefarious purposes, though sometimes they try to do good. Data breaches generally start with the weakest link in the chain: PEBKAC, in other words, It’s Your Problem. Identity protection company SpyCloud reports that more than two-thirds of passwords which have been breached online are still in use and most users still have the same username and password combo across multiple accounts. If you want to keep your own personal identity and data safe, it’s job #1 to make sure you have unique passwords for each website you use, and that the passwords are not made up of guessable words or phrases. The Edge browser gives you some tools to manage your passwords better – look for the Password Generator, or the drop-down Suggest strong password option, when you’re registering a new sign-in, and it will generate a long and complex password, stored in your account so in future you can be automatically signed in. Some sites don’t trigger the password generator or suggestion – perhaps due to how they describe or display the password field(s) – so another option is to use a browser extension like btPass – numerous others are available. It simply drops an icon on the browser toolbar and will show a password of varying complexity and length, which can be quickly copied to the clipboard and pasted into password fields. Since some sites don’t like special characters in the password, you can tweak or edit the text it creates. Security software company F-Secure has launched a free online password generator, if you’d prefer to create your secrets that way. The Manage passwords option seen in some password drop-downs – also available from the settings menu or by entering edge://settings/passwords into the address bar – gives access to Password Monitor, which warns you if passwords you have saved are known to have been breached, and can display a list of the sites where your previously-set password has been found in a trove of hacked accounts. You can quickly check the password used and decide to visit the page to change it – assuming the site still exists – or simply ignore it (on the assumption that you’ll be cleaning up and not using the compromised passwords on any sites you still want to actually visit).
If you install Microsoft Authenticator on your phone and sign in with the same account as you use in your browser, the saved passwords will be available through Authenticator too – so having very complex passwords should be no barrier to usability any more. |
619 – Teams plays Pop
Words evoke times and places for lots of people, and “Pop” certainly has plenty of associations and meanings. For some, it’s the (often cheaply-branded, sickly-sweet) fizzy drink of their youth (see also skoosh, in certain parts of the world), it might be forgettable teeny bop music or perhaps an intransitive verb used to describe how something stands out. It’s also a familiar word used in annoying UX concepts like a pop-up in your browser, or a toast on your desktop. Applications often put out toolbars or separate content in side windows, to help users make the most of their functionality: especially handy when the user has more than one display. In its evolution over the past couple of years of explosive user growth (270M MAU!), Microsoft Teams has started to move away from the one-window-to-rule-them-all idea of having all your chats, activities, documents etc in one place, and started offering to pop things out into their own window. If you’re in a meeting and want to have a side channel going on with a subset of participants, just start a multi-party chat, then right-click on it within the recent chats list, or from within the chat window itself. See more here. Other Teams apps also feature the top-right pop-out icon too. As well as offering a variety of Gallery and focus views, including the ability to place where the gallery is displayed (if at all), there’s also been an addition to hide your own camera preview, in case you find yourself distractedly checking yourself out during meetings. You could therefore dismiss all the other sidebars – like chat, or participants list – make the gallery go away, focus on presented content in full screen and hide your own preview – all in the name of being able to see what someone else is sharing. There is probably more popping still to come. There is a public preview for Teams – which can be enabled by your Microsoft 365 Admin, here – and that enables the early stages of some new features which are being tested. Microsoft has its own internal test programs too. Once the preview-enabling policy has been applied by Admin, then individual users will have the option (from the … / About menu) to enrol their machine in the preview; after doing so, signing out & in again, and a “Check for updates” cycle should see them have the latest available preview version. The holy grail for popping out in Teams meetings would be the ability to separate the content being shared so you could have that on one screen, and see a large video gallery of attendees, with chat sidebars etc on another. 618 – Listing
Lists form a big part of lots of peoples’ lives – whether it’s a to-do list for productivity afficionados, shopping lists for remembering the essentials or compiling top-five lists of favourite things, just, well, because. A while back, Microsoft released a new app for Microsoft 365 users called Lists, which was essentially a front-end to SharePoint, itself a staple of the Office 365/Microsoft 365 offering since the beginning, and providing much more functionality than simply a place to stuff documents. The original SharePoint Portal Server 2001 (codenamed “Tahoe”) is nearly old enough to buy itself a beer in its homeland, and relatively advanced logic and custom data validation & handling has been a major part of its appeal for a lot of that time. Lists brings a lot of that functionality to the fore, while being extensible through Power Apps and integrated into Teams. There are mobile Lists apps available and in beta too. Recently, the Lists experience was made available – in preview – for non-M365 users who could sign in with their Microsoft Account. A “lightweight” version of the app, it’s still pretty functional and pitched at individuals, families or small businesses who need to keep lists of things. Taking a slightly different tack, the To Do application is a good way of making other sorts of lists – that could be Tasks or flagged emails as well as simple tick-lists to mark off what needs to be done. In something of an overlap with Lists, To Do can share its lists with other people – think of To Do as primarily for personal use that you might share, whereas Lists is for managing shared endeavours first and foremost. If you’re a user of both Amazon’s Alexa services and Microsoft To Do, you might want to integrate them together; using the Tasks In The Hand skill. Once enabled and correctly configured, you can use Alexa to manage that service’s built-in To-Do and Shopping lists, and these are then synchronized to the Microsoft To Do app. You can rename the lists which are subsequently created in To Do and which sync with Alexa, though you can’t yet manage additional ones. You could simply use the Alexa app to manage the lists rather than synching them with To Do, but setting up synch gives you more flexibility – To Do integrates with other software and services, like being able to show lists in the Microsoft Launcher app on an Android phone. |
617 – OneNote online & off
Much digital ink has been spilled over OneNote on ToW previously. The original OneNote application shipped with Office 2003, then it was made available for free download before being supposedly superseded by a new-look Modern app version which was developed to share user experiences with the more recent online web version. OneNote apps were geared for offline use, synchronized to a private OneDrive (via your Microsoft Account) and/or a work SharePoint/OneDrive on Office 365. The plan was to ditch the original Office app version in favour of the shiny new world of the cleaner but substantially less functional Modern app, but that decision was later unwound and instead the better bits of the Store version (still called OneNote for Windows 10) will migrate to the desktop app during 2022 or thereabouts. While the OneNote offerings continue to evolve ahead of the quickening, we’re seeing some small improvements to both the offline client and the online experience. A simple example is the ability to sort pages in the desktop OneNote app – i.e., not the store app, which already had that capability. See the latest features added to the OneNote for Windows 10 store app, here. It is possible to use both clients at the same time – perhaps partition work stuff in the more capable OneNote for desktop, and then keep your home notebooks in the store version. Doing so makes it easy when searching, so you don’t end up with shopping list items mixed up with your meeting notes. The icons are very similar, though – you might find it easier to differentiate the apps by changing the icon of the desktop one (since you can’t edit the icon of the Store app). Try pinning the desktop icon to your Taskbar and right-click on the icon; on the pop-up menu, right-click on the OneNote label, choose Properties and then click the Change Icon button to select a different one. The web UI has evolved considerably too – go to onenote.com and sign-in with either your Microsoft Account, for your own personal notebooks, or your work/school M365 account, for the content associated with your job or school. The same web application is also the view that you see when accessing OneNote from within Teams. The recently improved web client includes some new capabilities like having a Read Only / Edit mode, akin to other Office web apps, as well as some improvements in handling embedded content, inking and more. There’s a short video showing the new capabilities in both desktop and online versions. If you’re a fan of desktop OneNote, make sure you get OneTastic, a suite of addins and macros to make OneNote more productive. Some of the macros plug gaps in OneNote functionality that have somewhat been filled – like sorting pages – but there are still many useful ones, like creating a table of contents for a large notebook. OneTastic also includes OneCalendar, which shows you all the pages – across any of your notebooks – which you have edited, on a calendar view. It sounds simple, but try it out and you’ll realise how useful it is to find notes based on the day you took them… OneCalendar is also available as a separate app which can be run alongside OneNote, pinned to the taskbar or launched separately. |
616 – Feature Power
The Windows Insiders program which, for a good many years, has provided a way for the product team to develop aspects and features of Windows with the help of millions of early testers, announced some changes in its focus recently. The distinction between Dev and Beta channels will blur to some degree, with A/B testing of new experimental features showing up in Dev before some may make it into future releases. The path to how new features for Windows 11 will be rolled out is changing a little too. Having previously said that there would be only one Feature Update each year, rather than the spring/fall update cadence that has been with Windows 10 for some time, there are going to be intermediate feature experience packs which will deliver some updates, like the forthcoming Android subsystem which will allow Windows 11 users to install and run a subset of Android apps and games on their PC. If you’re outside of the US, don’t get too excited about the Android apps – the initial preview needs both your PC region to be US and you need an Amazon account in the US, in order to use the Amazon Appstore (which is the home of the subset of available apps). Enterprising tinkerers have found ways to install the software without meeting said requirements – if you choose this rocky path, however, you’re on your own. If you want some groovy new features for your PC without grubbing around in the command line or waiting for a future update to arrive, do check out the recently-refreshed PowerToys package. The tl;dr history is that PowerToys started as a collection of side projects built during the Windows 95 days, shipped as freebies for power users to play with. The name was dusted down a couple of years ago to collect up similar skunkworks projects for Windows 10 (and now, 11), and has been updated fairly regularly – though the release version is still way off v1.0. The New PowerToys comprises a collection of addons which will be of varying interest to your average Windows user, but some are so neat on the occasions you need them that you’ll be glad of having installed the package. Image Resizer, for example, is a File Explorer extension to kick off resizing a large picture to a more manageable size – handy for the kind of website where you need a thumbnail or a profile picture that’s of restricted dimensions. There are other file-related tools like Power Rename, as well as power usage, window-handling and a whole lot more. Of particular interest (and most recent) are utilities to do with your mouse – how many times have you tried to find the location of your pointer (especially if you have multiple screens) by waggling the mouse or tickling the trackpad? Press CTRL key twice to Find My Mouse and the screens go dark, except for a spotlight that shines on the current pointer location. There’s a Mouse Highlighter which – when activated via a configurable shortcut key – leaves a little short-lived blob on-screen where you clicked the mouse; great if you’re recording a training video or doing a demonstration. Finally, there’s the somewhat more dramatic Mouse Pointer Crosshairs, which puts a big cross centered on wherever your pointer is, and follows it around. This might be hugely distracting to leave it on all the time, but fortunately, a quick press of the shortcut key will turn it off. The PowerToys use a lot of different shortcut keys – some configurable – and also have a handy Shortcut Key guide, which displays common Windows shortcuts; none of those used by the PowerToys themselves, though. |
615 – Zooming images on webpages
There are a variety of ways to zoom into content on your PC, maybe so you can read the tiny text or perhaps look for details in an image. If you have a physical mouse, then it will almost certainly have a scroll wheel or a touch-sensitive scroll-pad which is used to speed through all those LinkedIn posts that clutter up your feed of the good stuff. If you also hold the CTRL key down while moving the scroll-thing up and down, then the Office doc or web page you’re looking at will zoom in and out as well. Pressing CTRL-0 in the browser will quickly reset your view back to 100%, in case you’ve scrolled off the edge of the world.
If you’re using a trackpad rather than a rodent, or have a proper touch-screen, pinching with thumb and forefinger might well do the same thing, though exactly how will be determined by your machine’s settings. Annoyingly, some websites (like eBay, many estate agents, photo galleries etc) have a habit of not zooming into the image when you make the browser try to scale the page up; they might even make the menus and surrounding text massive, while keeping the image the same size. Sometimes, the page itself is scaling the image down to fit a specific pixel size – so it could be taking a 4000×3000 pixel image but displaying it at 800×600. In order to see the fine detail in the image, maybe you need to open it away from the page it’s on, so you can display it full-size. A simple way to over-ride the issue might be to right-click on the image and choose to open it in a new tab, thus freeing the graphic from the strictures of the page it’s on and allowing you to zoom in as you please. In some cases, the image you see here will be higher in resolution than the one which was on the page, due to the aforesaid scaling (especially true on eBay images, where often the source is many times larger than the view eBay presents). Even simpler, you may find that clicking on the image on a web page will open the full-size version of it, and that will allow you to zoom in even further. Some sites (like image libraries or photographers’ websites) won’t let you right-click on an image to save it or do anything. But there is another way… If you care to delve into the Developer Tools section in Edge (or Chrome) then you’ll get a frankly bewildering array of tools that let you peek into how the content of the page is set out and even how the site is performing over the network. Of particular interest here, though, is to be found under the Elements tab – this shows a hierarchical representation of the code behind the page, with sections that can be expanded and collapsed by a little arrow to the left of each. [Browsers other than Edge or Chrome may behave differently and call it something else – if you’re weird enough to still use Firefox, it’s Inspector vs Elements]. Normally, you’d be looking somewhere in the body section, and when you hover your mouse over an element, it will highlight that section on the page so you know you’re dealing with the right one. You’ll probably need to drill in to quite a number of <div> or <table> tags to find the one you want, though if you right-click on a part of the page and choose Inspect, it might jump straight to that particular clause . Try it on a fairly simple website and you’ll get the gist quickly. If you find an image file listed in the site coding, hover that section and you should see the properties of the image (depending on how it’s encoded); click the Current source URL and it will launch that image in its own tab. Press 12 again to close Developer Tools and return to normal browsing. |
614 – Good Game, good game!
Well, it seems that gaming is the portal to the metaverse. Brad Sams from First Ring Daily had an idea on how to get rich from “the mesh”, but maybe producing a blockbuster game is a sure-fire way to success. Or almost accidentally make one and give it away. “Wordle” became a synonym (or even an anthimeria) for a “word (or tag) cloud” from the mid 2000s – the idea being that you feed text into an app to generate a diagram showing the most common words in varying arrangements. The original “wordle.net” site has now disappeared, though since it needed Java to be installed on your computer to actually generate the image, it’s been defunct for over a decade. Other Wordle sites still exist. In late 2021, another Wordle appeared – a play on the name of its creator (Josh Wardle), a simple word game which has taken the internet by storm. It deliberately only had one round per day (so as to not rob the player’s attention like many other games do), and aims to be free to play and commendably ad-less. If you’d prefer to have your attention stolen so you can repeatedly play the game, try clone Wheeldle instead. Of course, many other word games are available as apps and sites – like Wordle, the word-search mobile app which has been around for years, along with a load of clones of the viral 6-line Wordle web app; they may not be free and may not be free of ads. Apple has already weilded the ban hammer to several Wordle rip-offs. If you’ve not been much of a word puzzle gamer previously but you’ve taken to Wordle, try out Wordament – a venerable app available on mobile devices and Windows PCs alike. It’s also available online. However you play it, you will need to put up with some ads on the way. Or just wait until the following day so you can tell Twitter how your Wordle quest went. Aaerm… |
613 – Ready for your close-up?
Outlook made some helpful suggestions in response – just one example of new AI functionality showing up by dint of subscription services. Another case in point where software gets better on a regular basis, is a slew of new features that have appeared for some Teams users – namely, the ability to tweak your own camera image. If you don’t see them yet, try checking for updates from the … menu to the left of your own profile image in the main Teams window. Mirroring your video makes it easier to interact with your own environment while you’re looking at the screen, though it doesn’t affect what others in the meeting see. Lighting Correction is a one-setting tweak for fixing the contrast and brightness, which can be handy when it’s dark outside and your room lighting isn’t ideal. Most entertaining though, is the facial retouching feature – YMMV depending on how much your fizzog need retouching in the first place, possibly. You can apply a dab of filler all the way up to full-blown Insta-influencer soft focus, by enabling the feature then moving the slider. Look under Device Settings from the ellipsis (…) menu when you’re in a call. The results speak for themselves… Check out the Teams blog, and look forward to lots more new features arriving later in the year. Another tweak in managing your own video comes from users’ feedback, where they don’t want to see their own video window, thinking that it’s distracting when looking at a gallery of other attendees in a meeting. You’ll be able to hide your own video by clicking on the … in the corner of your own preview, and can then selectively show or hide, or if you’re especially vain, you can pin your own tile to the meeting view so you show up as the same size as everyone else. 612 – New Year, New You (someday/maybe)
“The years go by so fast, let’s hope the next beats the last”– a sentiment that rings so true over the last couple of new year celebrations. Whether setting resolutions to do new things, read more, lose weight, be a better human etc, we all tend to reflect, even if just trying to do the same things as before but a bit better. Steve Clayton’s Friday Thing for the end of December had some great tips on things to do and try in the coming year. If we can’t reduce volume of professional communications (be that emails, Teams messages, whatever – just look at Steve cleaning his mailbox and removing >100,000 Sent Items from a single year), then maybe we could do a better job of managing the stuff that we have to deal with. Much ink has been spilled on how to be more effective and how to get things done, but one useful time/focus management principle to revisit is sometimes known as Eisenhower’s Matrix, of which a variety of depictions exist:
The premise is that any task has separate degrees of importance and urgency; we tend to prioritize urgent and overdue things versus things that are actually important. Discipline in task management can give us the clarity to not worry about seemingly urgent yet non-important tasks, and to stay focussed on things which are important, regardless of their urgency. Carve out 75 minutes if you can – because this stuff is important – to watch Randy Pausch’s lecture on Time Management, with the context that when it was recorded, he knew he only had weeks left to live: talk about prioritizing important vs urgent. How you put time and focus management into practice will differ depending on your own style and what tools you want to use.
